How to Integrate Ducknowl in-ATS Method with JazzHR
This document will help you set up your Ducknowl in-ATS integration with JazzHR. This integration allows JazzHR users to request one-way video interviews or skill assessments from within JazzHR. Ducknowl also has an export integration with JazzHR; please refer to this help document if you are integrating using the export method.
Connecting JazzHR to Ducknowl
1. You will receive a JazzHR bearer token from your Ducknowl administrator.
2. Log in to JazzHR. Go to Settings, then click Integrations.
3. Under Integrations, scroll down to Ducknowl and click “More details.”
4. Click on Manage.
5. In the pop-up, enter the bearer token that was assigned to you by your Ducknowl administrator. Don’t forget to click “Save credentials.” Now JazzHR is connected to Ducknowl.
Creating a Job in Ducknowl
- Begin by logging into Ducknowl and clicking on “New Job,” as shown here.
- Clicking “New Job” will prompt the below popup, allowing you to create your position.
3. There is no real need to copy-paste the description or location into Ducknowl, as your job will live mainly in JazzHR, but if it helps you differentiate between positions, it may be helpful. Ducknowl will prompt you to input pre-screening questions. There is no need to utilize these when using Ducknowl in integration with JazzHR, so click on Skip.
4. Next, you will be prompted to add some keyword parameters. As a JazzHR user, you will not need to add these either. Simply click Skip.
5. In the final screen of the create job stage, you will see a series of buttons, 3 of which are already green. You don’t need to mess with any of these as a JazzHR user, since resumes will populate into Ducknowl from your Lever account. Simply click on “Create job”!
6. From here, your job will enter the drafts stage. You must click “Publish” to make the position active.
7. Once you have published the job, click on the Active tab of your Ducknowl Job Dashboard.
8. Click on your new position to set up your assessments. Once inside your position dashboard, click on “+ Screening.”
9. In the dropdown, you can choose “one-way interview” or “assessment.” No matter the order you choose them in, you are able to send both to the candidates with one click.
10. Let’s begin by setting up a one-way interview. Click on “+ One-way interview.” This will bring up a pop-up. To begin designing your one-way interview, click on Add question.
11. Decide on a question, and choose how long you would like to give candidates to answer, as well as whether or not you would like to offer retakes. If you have a question that can be googled, you can choose “think time” to blur the question until candidates initiate, giving them a set amount of time to write notes before the recording starts automatically. You may make your one-way interview up to 60 minutes long or as short as you wish and add as many or as few questions as you like within this time frame.
12. Once you are satisfied with your one-way interview, click Save. If you only want to set up a one-way interview, you are done on Ducknowl for now. However, if you wish to add an assessment, you can click on “+ Screening” again. You will see that the green checkbox is highlighted over the one-way interview button, letting us know it’s already been set up. Click on “Assessment.”
13. Once you click on “+ Assessment,” a pop-up will appear with a drop-down allowing you to choose the category and difficulty of your assessment.
14. Choose an assessment that corresponds to the skills you’d like to hire for, and click on Next.
15. On the next screen, choose how long candidates have to take their assessment before it expires. Then, click “Confirm.”
16. Now your assessments are set up in Ducknowl. You can return to JazzHR to begin sending assessments and reviewing candidates.
Sending Assessments in JazzHR
- First things first, create a job or choose a job in JazzHR. This job does not need to match the job you created in Ducknowl, unless that helps you to differentiate your positions. Once you have created a job in JazzHR, click into your position.
2. Proceed by either choosing a candidate to send your assessments to or adding a candidate by clicking “Add candidate.”
3. If you choose to upload a candidate, drag or browse to choose a resume.
4. Ensure that any necessary fields for your candidate are filled out, especially their email.
5. Upload your candidate to JazzHR.
6. Once your candidate has been uploaded, click on Assessments.
7. Under Assessments, scroll down to Ducknowl and click “Send Ducknowl.”
8. A pop-up will appear prompting you to choose your assessment. You can send any Ducknowl assessment you have previously set up on Ducknowl. You do not need to connect a specific Ducknowl job to a specific JazzHR position—simply choose the assessment that you wish to send to your candidate.
9. Once you’ve chosen your assessment, click on “Send Ducknowl.” You have now sent your Ducknowl assessment, and it is time to wait for the candidate to reply.
